What we collect
When you buy something or set up an account, you give us the basics we need to actually do business with you: your name, your shipping and billing address, your email, and a phone number. If you create an account, we also keep the login details tied to it and your order history so you’re not typing everything in again next time.
Payment is its own thing, and we’ll get to it below.
We also collect some data automatically while you’re on the site. That’s things like your IP address, the type of device and browser you’re using, which pages you looked at, and how you got to us. This comes through cookies and our analytics setup. It’s mostly boring technical stuff that helps the site run and tells us what’s working.
If you email us or fill in a contact form, we keep that correspondence so we can follow up and have a record of what was said.
How we use it
The main reason we hold your data is to get your order to you. We use your name and address to ship it, your email to send order confirmations and tracking, and your phone number in case the courier or we need to reach you about a delivery.
We use your details for customer service too. If you write in about a return, a fault, or a “where’s my order,” we need your information on hand to sort it out.
We look at the analytics data to understand how people use the site and where it’s falling short, so we can fix the annoying bits and stock the right products.
Some of the automatic data helps us spot fraud. Electronics attract a fair amount of it, so we check orders and payment signals for anything that looks off, both to protect ourselves and to keep your account from being used by someone who isn’t you.
If you opt in to marketing, we’ll use your email to send you offers and news about products. You can leave that list whenever you like using the unsubscribe link in any email, or by emailing us. We won’t add you to it just because you bought something.
Payment
We do not see or store your full card details. When you pay, your card and payment information goes straight to a licensed third-party payment processor that handles the transaction on our behalf. That data is entered on their secure systems, not ours, and it does not sit on Ortario’s servers.
What comes back to us is limited: confirmation that the payment went through, and a few non-sensitive details like the last digits of the card and the billing name, so we can match the payment to your order and deal with refunds or disputes.
Our payment service provider handles your card data under its own privacy terms and the security standards it’s required to meet as a licensed processor.
How long we keep it
Order and transaction records stick around for as long as we need them for accounting, tax, and warranty purposes. For a Hong Kong company that generally means around seven years, and we keep them for that kind of period.
Account information stays until you close your account or ask us to delete it. If your account sits unused for a long stretch, we may remove it to tidy up.
Marketing contacts are kept until you unsubscribe, after which we drop you from the list.
Analytics data is retained for a limited window and then either deleted or stripped of anything that identifies you.
Your rights
The data is about you, so you get a say in it. You can:
- Ask for a copy of what we hold on you.
- Ask us to correct anything that’s wrong or out of date.
- Ask us to delete your data, where we’re not legally required to keep it (we can’t wipe out invoices we’re obliged to retain, for example).
- Tell us to stop sending you marketing.
To do any of this, email [email protected] and tell us what you want. We may ask you to confirm who you are first, so we’re not handing your information to the wrong person. We’ll deal with your request within a reasonable time, and normally a lot sooner than that.
If you’re not happy with how we’ve handled something, tell us and we’ll try to put it right.
Changes to this policy
If we change how we handle your data, we’ll update this page and change the “last updated” date at the top. Worth a look now and then if you want to stay current.
